This policy explains how VORTEXION ("we", "us") collects, uses, shares and protects your personal information when you visit our website or buy from us. We follow New Zealand's Privacy Act 2020.

Who we are

VORTEXION is an online store. We operate from outside New Zealand and sell to customers in New Zealand. Our website is hosted and our checkout is run on the Shopify platform. You can contact us, and our privacy officer, at contact.vortexcore@gmail.com (please put "Privacy" in the subject line).

What we collect

  • Contact and delivery details: name, email address, phone number (if you give it), billing and delivery address.
  • Order information: what you buy, order history, returns, refunds and messages you send us.
  • Payment information: your payment is handled by our payment providers. We do not store your full card number.
  • Device and usage information: your IP address, browser, device and how you use our website, collected through cookies and similar technologies.
  • Reviews and content you send us: reviews, photos and other content you choose to submit.

Why we collect and use it

  • To take, process, ship and support your order, including returns and refunds.
  • To contact you about your order and answer your questions.
  • To prevent fraud and keep our website and checkout secure.
  • To meet our legal, tax and accounting obligations.
  • To improve our website, products and service.
  • To send you marketing emails, only if you have agreed to receive them. You can unsubscribe at any time using the link in each email.

We only collect personal information that we need for these purposes, and we collect it directly from you or automatically from your use of our website.

Who we share it with

We do not sell your personal information. We share it only as needed with:

  • Shopify, which hosts our store and checkout.
  • Payment providers, to process your payment.
  • Our fulfilment partner, suppliers and carriers, who need your name, delivery address, email and phone number to deliver your order.
  • Our reviews provider, which helps us collect and display reviews.
  • Analytics and advertising providers, where we use them, in line with the cookies section below.
  • Professional advisers and authorities, where the law requires it.

Information sent overseas

We operate outside New Zealand, and our providers store and process information in several countries. Before we send your personal information overseas, we take reasonable steps to make sure it is protected by safeguards comparable to those in New Zealand's Privacy Act 2020, for example because the provider is subject to that Act or is bound by comparable safeguards. Cookies and tracking

We and our providers use cookies and similar technologies to run the website, remember your cart, understand how the site is used and, if we run advertising, measure it. You can control cookies in your browser settings. Blocking some cookies may stop parts of the website from working.

Security and how long we keep information

We take reasonable steps to protect your personal information from loss, misuse and unauthorised access, but no system is completely secure. We keep your information only as long as we need it for the purposes above, including to meet legal, tax and accounting obligations.

Your rights: access and correction

You can ask us for a copy of the personal information we hold about you, and ask us to correct it if it is wrong. Email contact.vortexcore@gmail.com. We will respond within 20 working days. You can also ask us to delete your information. We will do so unless we need to keep it to meet the law or deal with a dispute.

Privacy breaches

If a privacy breach is likely to cause you serious harm, we will notify you and the Office of the Privacy Commissioner as the law requires.

Complaints

If you are unhappy with how we handled your personal information, contact us first and we will try to fix it. You can also complain to the New Zealand Office of the Privacy Commissioner at www.privacy.org.nz.

Children

Our website is not aimed at children under 16, and we do not knowingly collect their personal information. If you think a child has given us information, contact us and we will delete it.

We may update this policy from time to time. The latest version is always on this page, with the date it was last updated.
